Pheromone products / Procurement guide

Pheromone lure and trap matching

Request a written pairing proposal with the target, lure and trap identified separately. Use the product references to keep the technical decision and the purchasing package consistent.

Identify all three parts of the question

Write the target name, proposed lure reference and proposed trap reference in separate fields. Where the target has not been confirmed, ask your responsible specialist to resolve the identification before a product is selected. If your team already owns a trap or lure, provide the label and a photograph to help identify it. Ask the supplier to state the combination it proposes against those inputs. Keep alternative pairings on distinct lines rather than mixing their components in a single package description. This gives your reviewer a concrete proposal to assess and helps procurement understand which target and equipment were addressed by the technical answer it receives.

Ask for the pairing response in writing

Request an item-specific statement identifying the lure and trap together and pointing to the relevant product instructions. Ask the supplier to explain any difference between your existing equipment and the proposed combination. For Wing Trap, the product description refers to use with a pheromone lure and a replaceable sticky board; request the proposed item references for your review instead of treating that description as confirmation for every trap category. If the supplier needs additional information, keep its questions with your original brief and ask the responsible reviewer to provide the missing input. Record the complete answer before using the pairing in a purchase specification or a replenishment request.

Review the package against the intended task

Describe whether the project concerns monitoring observations or another management objective and supply the intended setting and destination. Have your local adviser assess the proposed combination and accompanying instructions against those conditions. Request a component list that distinguishes the trap body, lure and any consumable. Ask which items are included and which require separate supply confirmation. If a proposed component has a storage or handling document, obtain it for the reviewer and receiving team. Keep decisions about placement, inspection and use with the responsible programme person rather than deriving them from the physical appearance of the trap or the presence of a lure in a quoted package.

Carry the accepted match into the order

Use the agreed product references in the commercial enquiry and show the requested quantity for each component. Provide the destination and desired arrival timing, then ask about minimum-order conditions and delivery arrangements. Compare the quotation with the pairing response and investigate any change in item identity before order approval. Ask the supplier to identify substitutions as alternatives and submit their own documents for review. Keep the accepted combination with the relevant target identification and product instructions. When your team later requests more lures, boards or trap bodies, cite that complete record and highlight any changed equipment or target condition so the new enquiry can receive a specific answer.
